[Pivot] Legal Operations Coordinator

Matter Creation & Management

  • Consult with internal/external stakeholders regarding new matter formation
  • Create matters in eBilling system (Legal Tracker)
  • Coordinate historical matter audit and migration to updated structure
  • Address ongoing matter changes and account for downstream impact
  • Develop matter specific reports and dashboards
  • Assist with the creation of matter budgets and related enforcement
  • Manage projects related to Legal matter development

Invoice Review & Guideline Development

  • Research and respond to internal/external invoice status inquiries
  • Coordinate with Accounting and Finance partners to help ensure timely payment of legal expenses
  • Identify opportunities for enhancing/automating workflows
  • Assist with fixed fee and firm RFP paneling processes
  • Supporting pricing tool deployments and maintenance

Vendor Management

  • Monitor engagements with new legal vendors
  • Coordinate onboarding to internal vendor and matter management systems
  • Review engagement letters and confirm related details (e.g. currencies, entities, contacts, etc.)
  • Respond to ad-hoc requests
  • Identify opportunities for outsourcing repetitive administrative tasks
  • Knowledge of procurement workflow
  • e-billing system experience
  • Intermediate to advanced Microsoft/G Suite skills
  • Exceptional interpersonal skills and works well in team environment
  • Must be comfortable with and embrace technology
  • Excellent attention to detail
  • Demonstrated ability to handle confidential information
  • Effective time management and ability to multi-task

Bachelor's Degree or higher
